"We hired another front desk person"
Adds coverage exactly where you already had the most: staffed hours. Your 27% of the week becomes a better-staffed 27%. The 9pm form fill still waits until morning, and lunch overlap still exists because humans eat. Payroll went up five figures; the dark hours didn't move.
"We use an answering service"
Catches after-hours calls — one channel of five or six. The message gets taken, then re-enters your practice as… a message, waiting for the same morning callback queue that was already leaking. And the form, text, and social channels never ring the service at all. Answering services solve for "the phone was answered," not "the patient got a response."
"We bought leads" (Angi, Google, whoever)
Lead vendors increase the water pressure into the same leaky pipe. If your response coverage misses 30% of inquiries, it misses 30% of the ones you paid $40 each for, too — and those vendors sell the same lead to competitors whose response is wired. Buying volume before measuring coverage is paying retail to lose races.
"We told the team to respond faster"
And they did — for three weeks. Effort-based fixes decay because the underlying system still requires a human to be free at the exact moment an inquiry arrives. Your team's job is patients in the building. A directive can't staff 3am Sunday, and it shouldn't have to.
"We'll check voicemail more often"
Voicemail return calls are a race you enter late. In the practice we measure, leads arriving in covered windows reached step one at 29.7%; leads arriving dark reached it at 10.9%. Checking messages more often shortens the delay; it doesn't remove the dark window where the patient booked elsewhere.
